3.1 Menu and Stock level Finding

In this window you can search for goods by barcode or fragment of the name as shown below. By clicking on the code icon, we can scan the product code to find the product precisely.

In order to add a new product to the warehouse, use the 'Add stock item' button to display the window as shown below.

In response to market demand we have created a free application, which can change almost any phone (or tablet) running on android into a professional barcode scanner. The app will be useful with inventorymaking and other logistic processes at the warehouse. It does not have any limitations as to the number of codes it can take in, and its scope of supported code formats is comparable to the one of a professional device. The application may be used by all kinds of companies or even individuals not running any business activity.

1. Download and installation

All mandatory parameters for the new product should be filled, additionally we can manually or automatically (by clicking on the scan code icon) add the product code and clicking on the camera icon, which launch the camera in the phone to take a photo for the product. After filling in all the data, clicking on the save icon, which will add the product.

To use the free LoMag barcode scanner app and change your telephone into a real data collector, you should have a telephone (smartphone) or a tablet with android version 2.1 or newer and a camera for taking photos and making videos (it is recommended that the camera has the Autofocus function).

In order to edit existing goods in the warehouse, we click on the 'Edit' icon, which will display the editing window in which we will be able to correct the wrong data for the selected product. To delete goods, click on the delete button.

You can download LoMag barcode scanner form Google Play platform. To download the product, go here or launch "Play Sore" on your phone. After choosing the option to remove the item, the LoMag application for Android will show the window presented below. In which you should mark the boxes for the goods that we want to remove from the warehouse, and then in the bottom right corner click on the remove icon. In order to withdraw from the selected option - you can always go back to the previous window using the back arrow in the upper part of the window.

After launching the Play Store (see above), go to the app search engine and type in a part of the name of the app: "lomag".

Once you have typed in a part of the name of the app and confirmed the word you search for, "LoMag barcode scanner" will be displayed on the search result list. If you click this item, you will proceed to the site of the free LoMag scanner.

To save and download the app, click "install"

ATTENTION! All actions performed in the LoMag application are constantly updated in the database on the computer and vice versa - this is due to the fact that the programs connect to the same database. This means that if, for example, we remove a product from the magazine on the phone - it will no longer be visible in the LoMag warehouse program on the computer.

4. GRN and GIN documents

In the next step an information window will open regarding access to information needed by the program to function properly. Before you start downloading the app, you must allow it access to the necessary modules by clicking: "Accept".

In order to issue a GIN or GRN document, you must click on the documnet icon in the application menu of LoMag. The description of issuing documents has been presented by considering the example of GRN, the GIN document is issued in the same way as in the example below.

When the installation is finished, you will be informed. If an error occurs during the installation, please contact us.

2. Launching the app.

To add a product to the document, first select the customer by entering its initial name and selecting it from the drop-down list shown. If you want to add a new client, click on the 'Add' icon LoMag.

To launch the free LoMag barcode scanner, look for the app icon on your phone - see below. Click it to run the app.

When the app is launched, the main navigation menu will be displayed comprising of several modules, which will be discussed in detail below.

The above action resulted in displaying a new window in the LoMag application in which you must define data for the new customer. After entering all mandatory data, save the settings by clicking the save button.

3. Creating a document and scanning barcodes.

To start scanning barcodes, first you need to open a new file (document) where the information about scanned barcodes will be stored. To do that, click on the first icon in the app which is called "Add file".

The next step is entering the document number (it can be left unchanged - it will be given the next number according to the numbering template set in the LoMag software). The application user also has the option of entering comments for documents. By clicking the add icon, a window will open, in which you can add goods to the document.

A window with a request to confirm the creation of a new file will be displayed (you can change the name of the file). Click "Confirm" to continue. The scanner will now be running (see below).

Next, you scan the barcode with the video camera of your device (telephone, tablet), and it will scan, recognize and save the barcode as you can see below. You will be informed that the code has been scanned by a sound signal and text information at the bottom part of the screen.

After scanning the code the scanner resets the display, and it is ready to scan another code. The application not only allows you to scan barcodes (type EAN-13), but it also supports the QR codes, which are scanned in the exactly the same manner.

LoMag barcode scanner supports the following code formats:

  • Codes on products: EAN-13, EAN-8, ISBN, UPC-A, UPC-E
  • Industry codes: Codabar, Code 128, Code 93, Code 39, ITF, RSS
  • 2D codes: QR Code, Data Matrix

If during the scanning you would like to view the document with saved barcodes, click the icon on the top right-hand corner to go to the "Data preview" window, which is presented for you below.

If you would like to end the scanning process and go to the main menu of the app, click the icon in the top left-hand side corner.

3. Data preview

To look at the list of barcodes which were scanned a moment ago, click "Data preview" in the main menu of the app.

There are two ways to add an item to a document. The first is to select the item by entering its initial name in the "Item Name" field, the second to enter the bar code - you can do it manually or scan the item code by clicking the icon. Both fields depend on each other, which means that filling one will fill the other. Enter the quantity of the received goods, price or value (the fields will be automatically calculated after entering at least one value). The current status field informs us how much goods we have in the current warehouse before accepting the document. Additional options are enter the expiration date for the item (to disable this option, uncheck the box), enter the serial number manually or via a scanner, and place comments for the item.

You can see the list of the scanned barcodes in the "Data preview" window. You will find additional functions in the lower part of the "Data preview" module, starting from the left: (1) turn on the scanner (to scan another code and add it to this document), (2) save the document in Excel format on the device, (3) send the Excel document with the barcodes to an e-mail address.

If you click icon no.1 the screen for scanning further barcodes will come up.

In order to add another item to the document, click on the 'add' icon, which will display the same window that is currently open - in order to configure the addition of another item to the document. Once the document is ready and we want to save it, use the 'save' icon.

In the same way, we can generate GIN documents.

5. Review and Editing of Existing documents in the Database

If you click icon no.2, a screen will come up for saving your file with scanned barcodes on the hard-drive of your device in Excel format. To save, select the folder where you wish to keep the file, name the file (or leave the default name) and click the save button.

When verifying our newly saved document in the fourth point of this manual, click on the 'document' icon in the main menu of the LoMag application on android. This will display all available documents in the LoMag application.

If you click icon no 3, a window will come up enabling you to send the Excel file with the scanned barcodes to an e-mail address. For the e-mail to be sent, you have to have access to the Internet and have your own e-mail account.

The application allows you to find the right document by scrolling the list using your finger on an Android device, or by entering its number in the search field. To edit a document, use the edit button.

In the edit window we have only the option of browsing the goods on the document and removing them. To delete a product from the document, click on the delete button.

As you can see the Excel file has columns with information about barcodes, the amounts of items (for a given code), the prices (for every code) and serial numbers (for every code). The LoMag barcode scanner app automatically determines the default number of items as 1 (for the defalult mode of scanning - barcode only).

To determine exactly the amount of items for a given barcode, its price and the serial number, go to app settings and determine the type of scanning.

6. Inventory

The LoMag barcode scanner app enables you to scan barcodes in several ways.

You can scan:

  • Only and exclusively the barcode.
  • The barcode and the amount (of items of the product).
  • The barcode and the amount and the price (of the product).
  • To create a new inventory document, in the main application menu, click on the icon LoMag- a new window will be displayed in which you must enter the document number. In order to place the goods on the document, we use the add button.

  • Barcode with the serial number (only if the serial number is the same as the bar-code).

To change the scanning type, go to app settings.

Next, choose one of the four possible scanning types. Barcode only scanning is the default setting. To change the scanning type click the scanning type that interests you. For example, let's select "Code, amount, price", and click "Confirm".

The next step is to add the goods to the document. For this purpose, in the manner known to us from this manual, enter its name or bar code. In the Quantity field, we should provide the current inventory, which will cause the applications to recalculate the price fields and the values ??that are non-editable. In order to add more goods, the user should click on the add icon in the LoMag. Click on the 'save' button, a new window will be appeared in front of user screen.

Once you have changed the settings, go to the main menu of the program. To verify the effect of the change, turn on the scanner (to continue with the same document - click "Continue file", and he select the file on which you wish to continue saving).

5. Scan the barcode with amount and price

Put the video camera of your device over the barcode and the device - thanks to the app - will scan, recognize and save the barcode as you can observe below. Next, the window with the amount and price (of the item bearing a given code) will be displayed.

Using the first option which is "Show goods that are not in inventory" will display a list of goods that are not currently included in the document, using the plus button will open a window with the possibility to add it with the filled name and barcode for the selected product.Program Magazynowy

In the "Quantity" field you enter the amount (of items of the product) with a given barcode and the price (of the product) with the barcode. For example, lets set the Quantity = 5 units and the price = 2 for each unit.

Using the second option, which is "Add missing goods with their current status", all items omitted by us will be added to the document along with their current stock. To generate a document, it remains the user of the LoMag application only by clicking on the save icon.

After you have entered the amount and the price, you can scan the next code or save the operations executed so far and finish working with the scanner. In the "Data preview" module, you can verify how it was saved.

6. Scanning a barcode with a serial number.

Choosing the third option, ie "Add missing goods with zero status", will add to the document all the goods we have on the current warehouse with the state 0. Differences between states are highlighted in green. On the document below you can see in the summary that the old value of current states in the warehouse is 1405.00 and in the document that we want to generate will be 1.00, the same applies to the summary of the value of goods.

You can also scan barcodes with serial numbers. If you are interested in this type of scanning, go again to the app settings and select the "Code and serial number" type of scanning. Please note that this type of scanning is only useful if the serial number of a given product is the same as its barcode.

To check out this type of scanning, turn the scanner on (proceed as shown above).

By saving the inventory document, you can view it and edit it in the documents section. You can find it by sliding your finger on the Android display, or by using the search engine by entering its name or fragment. To view the document, click on the edit icon. You can delete or add items to the document by using the add and delete icons, respectively.

7. Transfers between Warehouse and Warehouse Change

Again, put the video camera of your device over the barcode. Thanks to the LoMag app, the device will scan, recognize and save the code and the serial number. The following communication will be displayed:

After having been saved in an Excel format, the document looks as shown below. Please note, that the Quantity = 1, as only one item can have the same serial number and barcode.

In order to transfer the item from the currently opened warehouse to another, the owner of the LoMag application must use the 'Interbranch transfer' icon in the main menu. The implementation of the above guidelines will open a window in which, as a standard, we must complete the basic data, including the document number. The most important step is choosing the warehouse to which we want to move the goods that we can specify using the add products button. In the example below, we chose an archive magazine that is supposed to hit 1kg of lemon.

This is how you can scan barcodes of products at your warehouse with the use of a telephone (or another device running on android). You finalise the process of scanning codes in LoMag inventory management and conclude the registering process (e.g. by issuing the scanned item from the warehouse and saving the stock levels in LoMag inventory management).
In the window of adding goods a preview of deliveries for a given product is displayed. In order to add another item which is to be moved to another warehouse, use the add button, after entering all the goods that are to be transferred to the archives, click on the save.

7. Importing Excel files to LoMag inventory management.

If the item is moved to a warehouse where it does not exist, a message will be displayed if we want to copy its file from the current warehouse. Use the yes button.

7.1 Changing the Warehouse in the LoMag Application

For example, let’s say that the scanned bar codes belong to products which you wish to issue from the warehouse. Start a Goods Issued Note in LoMag inventory management, into which the file with the bar codes generated in the LoMag scanner app will imported.

To change the currently open warehouse, in the main menu, click the back arrow icon in the upper left window of the application. Performing the above action will cause the LoMag application user to be withdrawn to the possibility of selecting another warehouse. In our example, the productS was moved to the archives and displayed below.

To import the file with the barcodes scanned with the LoMag scanner app, go to the tool menu of the "New document: Goods Issued Note" window and click the "import" icon (see below). The "Import of docuntent's content from Microsoft Excel files" module will be launched.

After selecting the warehouse to which the product was moved, you can check the results of the operation. In order to check the correctness of the carried out transfer between the warehouse, in the main menu, click on the 'search' icon, which will result in displaying a new window in which you can see that the product has been correctly transferred to this warehouse.

8. Application Settings

Next, use the "Load list of entries content from Microsoft Excel files" module to import your Excel documents with the codes. Using the setting icon in the LoMag application, the LoMag user on the Android operating system can go to the application settings.

As you can see above the document has been uploaded to the program. Next, you need to import the data to the document. Click "3. Import entries - add new lines to document". Remember to adjust the Excel columns to relevant fields (barcode, amount, price, serial number) before the import.

The first option on the list is the ability to enable / disable price support on documents. To do this, select or deselect the check box. Another option on the list is to enable / disable the possibility of manually entering bar codes for goods - if this option is disabled this will only be possible through a code scanner. In the previous parts of the manual, there were presented the possibility of adding goods to documents with the price function enabled, therefore the following screen shot shows the document editing view for the above-described option.

Parameter select the type of codes to be scanned, allows us to select the types of codes to be handled by the application by using the scanner.

By clicking on the item number in the settings window, the application user can set the default value that will be displayed in the release documents. The screenshot below shows the display of choosing the current status (all goods that we have in stock in the current warehouse are placed on the document).

As you can see above, the items from the Excel file were added to the document. The remaining information about the products (such as "product name", "unit", etc.) were imported via the scanned barcodes. Please remember that other data about the items will be imported, if it is included in the items list in LoMag inventory management. If an item with a given barcode is outstanding, the program will inform you about this fact during importing data from the Excel file. The program will ask you whether the outstanding item should be added (see below). When importing barcodes with serial numbers, please remember to turn on the serial number support in LoMag settings.

9. Enable / Disable the function of Batch Numbers and Expiration Dates

The import of a file with scanned barcodes in LoMag mobile app may similarly be used with:

  • The remaining warehouse documents (GRN, GIN, Internal GRN, Internal GIN, Corrections, Interbranch transfers, etc.)
  • To enable / disable serial number options and expiration dates for a product, go to the settings window in the LoMag software using the computer platform in the main tab named documents select or deselect the option to use this function.

7. Other functionalities of the LoMag barcode scanner app.

The "Browse files" module used for browsing through the list of the generated files; this modulle allows you to browse the contents of every document or remove it (by using the red cross which may be found by each document).

In order to view the changes in option to be noticeable for users of the LoMag application in the Android app, it is necessary to connect to the database again, otherwise the user will always use the old settings. To do this, you can close the application using the power button in the upper right corner, and then restart the application on your phone. Or retreat to the main settings window by clicking the back arrow button several times.

10. Warehouse Locations

An additional undiscussed option of the app can be found in the app settings - You can enter the number of seconds between the scans. Thanks to that option you may set the time the scanner will wait before it allows you to scan another barcode.

The commissioning and configuration of storage locations are described in the previous manual. The following section will only show you to use this function in an Android application. If you have made changes to the software on your computer while using the application, you must re-log in to make them visible. When you issue an admission document, you can see a new field called Storage location. You can manually enter an existing location, or define a new one using the plus icon.
